Position: Project Admin
About the role:
This position is primarily responsible for assisting the Consulting team in the operations for consultancy project delivery. This person will be responsible for managing the project administration matters to enable smooth communication between internal teams and external parties, as well as ensuring project information documentations are being managed properly. It requires a high level of collaboration, discretion, intense focus, and quick turnaround, leveraging resources from across the company, and the external world.
Key Responsibilities:
- Support in administrative matters of management consultancy projects which include:
- Coordinating for meetings, workshops, agenda, travel plans, venue and accommodations booking with client, prospects, and internal teams to ensure efficient and smooth operations.
- Managing emails, letters, phone calls and other forms of correspondences.
- Coordinating and managing the proposals and reports submission to client, including printing, checking and packing.
- Supporting in project administrative process including notes taking, minutes preparation, expenses tracking, follow-up with actions owners, progress checking, report printing, report submission, as well as the claims and payments process with internal finance department and clients.
- Creating and updating databases and records for project financial information, personnel time spent and other project-related data.
- Tracking and replacing office supplies as necessary to avoid interruptions in standard office procedures.
- Support colleagues whenever there is an opportunity to do so.
Requirements:
- High school diploma or a bachelor’s degree in business, administration, or related fields.
- Proficient in basic Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent verbal and written communication skills.
- Excellent organisational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Comfortable to handle confidential information.
- Muti-tasking and time-management skills, with the ability to prioritise tasks.
- Candidate with working experiences in consulting, corporate management, property development and construction will be prioritised.
